SolarDialer

SolarDialer for Freshsales

Connect your Freshsales account: contacts in a status you pick are called by SolarDialer's AI agent within a minute, interested leads are transferred live to your closer, and every call is logged on the contact with its summary, transcript and a link to the recording.

You need a SolarDialer account and a Freshsales (Freshsales Suite) user; an admin's API key lets SolarDialer add its contact fields.

Call contacts by status

Choose a lifecycle stage and status (or "any new contact") and a campaign: each contact in that status that is added or changed from then on joins the campaign within a minute, called on its schedule, always within the lead's legal calling hours.

Every call on the contact

Each call is logged on the contact (outbound, its length and outcome), with a note holding the AI summary, answers, transcript and a link to the recording.

Interested leads move on

Pick a status and each interested lead moves there (and to your transfer status when they are put through to your closer), so your Freshsales workflows take it from there. Callbacks become tasks, due when the lead asked.

Fields for your views

SD Outcome, SD Last Call, SD Recording, SD Interested, SD Callback and SD Do Not Call are set on the contact.

Set up in 3 steps

  1. Copy your API keyIn Freshsales, click your profile picture → Settings → API Settings and copy your API key. Note your Freshsales address too, like yourcompany.myfreshworks.com.
  2. ConnectSign in to SolarDialer, open Account → Integrations, enter the address and the key under Freshsales and click Connect Freshsales.
  3. Choose who is calledOn the same page, add a rule: a status (or any new contact) and the campaign those contacts join. Optionally pick the status interested leads move to.

If your Freshsales contact form requires an email, a contact without one can't get a new contact; make Email optional (Admin settings → Contact fields) or keep emails on your leads.

What SolarDialer reads and writes in Freshsales

Freshsales dataWhat SolarDialer does with it
ContactsReads the contacts changed since its last look (every minute, from your All Contacts view), and the name, phones, email and address of those a rule picks, to call them. Finds (by phone or email) or creates the contact for a lead whose call reached someone, sets the SolarDialer fields on it, and moves it to the status you picked for interested leads.
SettingsReads your lifecycle stages, contact statuses and Phone outcomes for the pickers and call logs; creates the six SolarDialer contact fields once.
Phone calls and tasksLogs each call with its note, and adds a task for each callback booked, for the contact's owner.

People are called only within each state's calling hours, never when they are on your do-not-call list or asked not to be called, and at most the attempts your campaign allows. Your Freshsales data is used only to place and report your calls; see our privacy policy and terms.

Disconnecting

Click Disconnect Freshsales on Account → Integrations. The key is forgotten at once; to be sure it can't be used again, reset it in Freshsales (Settings → API Settings), which also stops other apps using it. Results stop going to Freshsales; the leads and calls already in SolarDialer stay in your account until you delete them, and nothing is removed from Freshsales. To have your SolarDialer data deleted, email info@solardialer.net.

Full setup guide

Everything you need to set it up and keep it running. Stuck? Email info@solardialer.net.

Before you start

  • A Freshsales (Freshsales Suite) account, at an address like yourcompany.myfreshworks.com. Freshsales Classic (an address ending in freshsales.io) can't be connected.
  • The API key of a Freshsales user. An admin's key is best: SolarDialer adds six contact fields the first time it sends a result, and only an admin may add fields.
  • An "All Contacts" view in Freshsales (every account starts with one). SolarDialer reads new and changed contacts from it.
  • A SolarDialer account with at least one campaign that isn't finished. Leads are called once your account is approved and the campaign is running.
  • If your Freshsales contact form requires an email, SolarDialer can't make a contact for a lead without one. Make Email optional (Admin settings, Contact fields) or keep emails on your leads.

Step by step

  1. Copy your API keyIn Freshsales, click your profile picture, then Settings, then API Settings, and copy your API key. Note your Freshsales address from the browser too, like yourcompany.myfreshworks.com.
  2. Open Integrations in SolarDialerSign in on solardialer.net and open Account, then Integrations. Under Connect, find the Freshsales card and click Connect Freshsales.
  3. ConnectEnter the address under Freshsales address (yourcompany, the full address or any page address from Freshsales all work), paste the key under API key and click Connect. The page says "Freshsales connected (yourcompany.myfreshworks.com)" and the account appears under Your CRM with a Connected badge.
  4. Add a rule: who is calledUnder Your CRM, in Contacts to call, pick a status in Contacts in the status (shown as Lifecycle stage: Status), or Any new contact, pick the Campaign and click Add rule. From then on, matching contacts join that campaign within about a minute.
  5. Choose where interested leads go (optional)In Interested leads go to (this status), pick the status an interested lead moves to. Optionally pick another in Transferred leads go to, for leads put through to your closer; it may be in another lifecycle stage. Click Save.
  6. Test itMake a test contact in Freshsales with your own phone number in the status your rule uses. Within a minute or two it is a lead in your campaign in SolarDialer. After the call, the contact shows the call log and the SD fields.

Settings, explained

Contacts in the status
A rule picks contacts in that lifecycle stage and status that are made, or changed, after the rule was added. Freshsales keeps no time of a status change, so a contact that was already in the status is picked only when it is next changed.
Any new contact
Every contact made in Freshsales after the rule was added joins the campaign.
Campaign
The SolarDialer campaign the rule's contacts join. Only campaigns that aren't finished are listed. They are called on the campaign's schedule, within each lead's legal calling hours.
Rules
Up to 20, one per status. Each contact joins a campaign once: one already called through SolarDialer, or made by SolarDialer, is never added again. Remove a rule with its Remove button.
Interested leads go to (this status)
The lifecycle stage and status an interested lead's contact moves to: a lead who said yes to your closer, whether or not the transfer connected, or one booked a callback with the closer instead. Leave the status as it is keeps contacts where they are.
Transferred leads go to (optional)
A different status for leads whose transfer to your closer connected. The same status uses the one above.

What it reads and writes

Read: contacts
Every minute, the contacts changed since the last look, from your All Contacts view. For a contact a rule picks: first and last name, phone (mobile, then work, then any other), email, address, city, state, ZIP and country.
Read: settings
Your lifecycle stages and contact statuses for the pickers, your contact fields and form, and the Phone activity's outcomes for the call log.
Written: the call log
Each call is logged on the contact as a phone call with its direction, length and an outcome (Interested for a transfer, Not interested for a do-not-call request, Not able to reach for no answer, busy or a failed call), with a note holding the summary, answers, transcript, a link to the recording and a link to the call in SolarDialer. An outcome you renamed or removed is left out.
Written: six contact fields
SD Outcome, SD Last Call (date and time in UTC), SD Recording (a link) on every call; SD Interested (Yes), SD Callback (when) and SD Do Not Call (Yes). They are made as text fields in your contact form the first time, or reused if fields with those labels exist.
Written: status and tasks
An interested lead's contact moves to the status you picked. A callback adds a task "Callback (SolarDialer)", due when the lead asked, for the contact's owner when it has one, saying who calls back.
Written: contacts
A contact is found by phone (mobile, then work number), then by email, or made, only for a call that reached someone, an interested lead or a callback. A call nobody answered only updates a contact that already exists. New contacts start in Freshsales's default status with no owner.

Troubleshooting

"Freshsales wasn't connected: Enter your Freshsales address, like yourcompany.myfreshworks.com."

The address isn't a Freshsales Suite one. Copy it from your browser while signed in to Freshsales. Addresses ending in freshsales.io (Freshsales Classic) aren't supported.

"Freshsales didn't accept that API key for that address."

The key belongs to another Freshsales account, or was reset. Copy it again from Settings, API Settings, in the account at that address.

"That isn't a Freshsales address."

Freshsales answered that the address doesn't exist. Copy it from the browser while signed in.

"Your Freshsales account has no "All Contacts" view."

SolarDialer reads new and changed contacts from that view. Restore or recreate it in Freshsales, then connect again.

"That Freshsales account is connected to another SolarDialer account."

A Freshsales account can be linked to one SolarDialer account at a time. Disconnect it there first.

"Last problem sending results: Freshsales needs an email to make a contact and this lead has none"

Your contact form requires an email. Make Email optional in Admin settings, Contact fields, or add emails to your leads. That result is skipped; the next ones go through.

The connection shows Disconnected: "Freshsales refused the API key"

The key was reset, or its user was removed in Freshsales. Copy the current key and connect again from the Freshsales card.

A contact in the rule's status wasn't called

Check that it was made or changed after the rule was added (edit it to pick it up), that it has a phone number, that it wasn't already called through SolarDialer, and that its phone isn't already a lead in your account (a number belongs to one lead). Then check that the campaign is running.

"Your Freshsales statuses couldn't be read just now; reload to add a rule."

Freshsales didn't answer in time. Reload the page.

"That status wasn't found in Freshsales. Reload and pick again."

The status was changed or deleted in Freshsales after the page loaded. Reload and pick again.

The SD fields don't appear on contacts

The fields are made with the first result, and only with an admin's key. With a key that can't add fields, results still arrive as call logs, status moves and tasks.

"Last problem sending results" with "(trying again shortly)"

Freshsales was busy or didn't answer. SolarDialer waits and tries again, longer each time; nothing is lost. Freshsales allows 1,000 API calls an hour per account, shared with your other apps.

FAQ

Why an API key and not a sign-in button?

Freshsales offers sign-in only to apps built on its own platform, so SolarDialer connects with an API key, as Zapier's Freshsales app does. The key is stored encrypted and only ever sent to your Freshsales address.

How fast is a new contact called?

SolarDialer looks at your contacts every minute, and a picked contact joins the campaign straight away. The campaign calls it on its schedule, within the lead's calling hours.

Do I get results for calls made before I connected?

No. A new connection gets the results of calls from then on.

What if I delete or merge a contact in Freshsales?

The next result for that lead finds the contact again by phone or email, or makes a new one.

Does removing the status or deleting the rule stop calls?

No. A contact that joined a campaign stays a lead there. A rule removed only stops new contacts joining.

Will people be called outside calling hours or after asking not to be called?

No. People are called only within their state's calling hours, never when they are on your do-not-call list or asked not to be called, and at most the attempts your campaign allows. A do-not-call request sets SD Do Not Call on the contact.

Can I connect two Freshsales accounts?

One per SolarDialer account: the Connect form is hidden while one is connected.

What does it cost?

The connection is free. Calls are billed by the minute from your SolarDialer balance, with $2 of free calls every month.

Disconnect

  • Click Disconnect Freshsales under Your CRM on Account, Integrations. The key is forgotten at once and results stop going to Freshsales.
  • Reset the key in Freshsales too (Settings, API Settings) if no other app uses it.
  • Your leads and calls stay in SolarDialer, and nothing is removed from Freshsales. To have your SolarDialer data deleted, email info@solardialer.net.

Pay only when we're talking to someone

22¢ a minute while on a call, or 14¢ with your own phone line. Calls nobody answers are free, and the first $2 of calls every month are on us. The Freshsales connection itself costs nothing.

No monthly fee, no minimum. See pricing
