SolarDialer

SolarDialer for Salesforce

Connect your Salesforce org: Leads in a status you pick, or every new Lead, are called by SolarDialer's AI agent within minutes, interested leads are transferred live to your closer, and every call is logged on the Lead with its summary, transcript and recording.

Testing in a sandbox? Connect a sandbox instead.

You need a SolarDialer account, and a Salesforce user with API access (Enterprise, Unlimited, Performance or Developer Edition, or Professional with API access) who can read and edit Leads and create tasks.

Call by Lead Status

Choose a Lead Status, or "any new Lead", and a campaign: each Lead that reaches the status, or is created, joins the campaign within a minute, called on its schedule, always within the lead's legal calling hours. Converted Leads are never called.

Every call on the Lead

Each call is logged on the Lead as a completed call task, with the AI summary, the answers, the transcript and a link to the recording in its comments.

Interested leads move on

Pick a Lead Status and each interested lead's Lead moves there, or to your transfer status when they are put through to your closer. Callbacks become tasks with a reminder at the time the lead asked.

Do Not Call kept

Someone who asks not to be called gets Do Not Call ticked on their Lead, and is never called by SolarDialer again.

Set up in 3 steps

  1. ConnectSign in to SolarDialer, open Account → Integrations and click Connect Salesforce. Log in to Salesforce and allow access.
  2. Choose who is calledOn the same page, add a rule: a Lead Status (or any new Lead) and the campaign those Leads join. Add as many rules as you like. SolarDialer checks your Leads every minute.
  3. Choose where interested leads goPick the Lead Status for interested leads, and optionally one for transferred ones. Leave it empty to leave the status as it is.

What SolarDialer reads and writes in Salesforce

Salesforce dataWhat SolarDialer does with it
LeadsReads the Leads changed since its last look (name, company, phone, mobile, email, address, status) to call those your rules pick. Finds (by phone or email) or creates the Lead for a call that reached someone, sets its Status for an interested lead if you picked one, and ticks Do Not Call for someone who asks not to be called.
Lead Status valuesReads them for the pickers on your Integrations page.
TasksCreates a completed call task on the Lead for each call, and an open task with a reminder for each callback booked.
Your organization and userReads your organization's name and your time zone, so tasks fall on the right day.

Leads are called only within each state's calling hours, never when they are on your do-not-call list or asked not to be called, and at most the attempts your campaign allows. Your Salesforce data is used only to place and report your calls; see our privacy policy and terms.

Disconnecting

Click Disconnect Salesforce on Account → Integrations: SolarDialer's access is revoked at once (you can also revoke it in Salesforce, under your personal settings' Connected Apps OAuth Usage). The leads and calls already in SolarDialer stay in your account until you delete them, and nothing is removed from Salesforce. To have your SolarDialer data deleted, email info@solardialer.net.

Full setup guide

Everything you need to set it up and keep it running. Stuck? Email info@solardialer.net.

Before you start

  • A SolarDialer account with at least one campaign that isn't finished. Leads are called once your account is approved and the campaign is running (new campaigns start Paused).
  • A Salesforce edition with API access: Enterprise, Unlimited, Performance or Developer Edition, or Professional with API access.
  • A Salesforce user with API access who can read and edit Leads and create tasks. Tasks SolarDialer makes are dated in this user's time zone, and callback tasks are assigned to them.
  • Leads with a first name and a phone or mobile number. A US Lead also needs a state, a ZIP or a US area code, so SolarDialer knows its calling hours.

Step by step

  1. Connect SalesforceLog in to SolarDialer and open Account → Integrations. Under Connect, click Connect Salesforce (for a sandbox, click A sandbox next to it instead).
  2. Allow access in SalesforceLog in to Salesforce and allow access. You come back with "Salesforce connected (your organization). Call results now go to your Salesforce Leads; add a rule below to choose which Leads are called."
  3. Add a ruleUnder Your CRM, in Leads to call, pick Leads in the status (a Lead Status, or Any new Lead) and the Campaign they join. Click Add rule. SolarDialer checks your Leads every minute.
  4. Add more rules if you likeUp to 20 rules, one per status. Each shows as "Leads in ... → campaign" with a Remove button.
  5. Choose where interested leads go (optional)Pick a status in Interested leads go to (this Lead Status), and optionally one in Transferred leads go to (optional). Click Save. Leave it on Leave the status as it is to keep Lead Status unchanged.
  6. Test itIn Salesforce, create a Lead with your own phone number in the rule's status. Within a minute or two it appears in SolarDialer under Leads, in the rule's campaign. After the call, open the Lead: the call is in its activity as a completed call task.

Settings, explained

Leads in the status
Leads in this Lead Status that are created or changed after you add the rule join the campaign. Any edit to a Lead in the status counts, not only a status change. Leads that sit in the status unchanged aren't added.
Leads in the status: Any new Lead
Every Lead created after you add the rule joins the campaign, whatever its status.
Campaign
The SolarDialer campaign the matching Leads join, called on its schedule within each lead's legal calling hours.
Interested leads go to (this Lead Status)
An interested lead's Lead is moved to this status. Leave the status as it is means no change.
Transferred leads go to (optional)
When the transfer to your closer connects, the Lead goes to this status instead. The same status means no separate transfer status.
A sandbox
Connects a Salesforce sandbox (it signs in at test.salesforce.com) instead of your live org. It shows as "(sandbox)" under Your CRM.

What it reads and writes

Read from Salesforce
The Leads changed since the last check (never converted ones): name, phone, mobile phone, email, address and status; the mobile number is called first, else the phone. Your Lead Status values, for the pickers; your organization's name and your user's time zone.
Calls
Each call is a completed call task on the Lead: subject "Call: <outcome> (SolarDialer)", inbound or outbound, its length, dated the day of the call, and in its comments the outcome, AI summary, answers, objections, transcript and links to the recording and the call in SolarDialer.
Lead Status
Set for an interested lead (or a transferred one), only if you picked a status.
Callbacks
Each callback booked becomes an open task, Callback (SolarDialer), dated that day, with a reminder at the time the lead asked, saying who calls back: SolarDialer's agent or the advisor.
Do Not Call
Ticked on the Lead of someone who asks not to be called. If your org hides that field from the connected user, a completed task "Asked not to be called (SolarDialer)" is added to the Lead instead.
New Leads
A Lead is found (by phone, then email, among unconverted Leads) or made only for a call that reached someone, an interested lead or a callback. A Lead SolarDialer makes has the lead's name, phone, email, street, city and ZIP; Salesforce requires a last name and a company, so a placeholder fills them when there are none. Duplicate rules that only alert don't stop it.
Which calls reach Salesforce
Every call your SolarDialer account makes from the moment you connect, not only Leads from Salesforce; earlier calls are never sent. Unanswered calls and do-not-call requests only update a Lead SolarDialer already linked.

Troubleshooting

"Salesforce wasn't connected: access wasn't granted."

Access was refused or the page closed. Click Connect Salesforce again and allow access.

"That Salesforce link has expired. Connect again from here."

More than 15 minutes passed on Salesforce's page. Click Connect Salesforce again.

"Log in to the account that started connecting Salesforce."

You came back from Salesforce logged in to another SolarDialer account, or logged out. Log in to the account you started from and connect again.

"...connected to another SolarDialer account"

A Salesforce org can be linked to one SolarDialer account only. Disconnect it there first.

"Salesforce couldn't be connected: please try again."

Salesforce didn't complete the connection. Check that your edition and user have API access, then connect again. To connect a sandbox, use A sandbox, not Connect Salesforce.

"Your Salesforce Lead statuses couldn't be read just now; reload to add a rule."

Salesforce didn't answer in time, or the connected user can't read Leads. Reload the page.

"That status wasn't found in Salesforce. Reload and pick again."

The status was renamed or turned off in Salesforce after the page loaded.

"There's a rule for that already; remove it first."

Each status (or Any new Lead) can have one rule. Remove the old rule to send those Leads to another campaign.

A Lead in the status didn't show up in SolarDialer

It must be created or changed after the rule was added, and not converted. It also needs a first name and a valid phone or mobile, and that number must not already be a different lead in your SolarDialer account. A Lead already called through SolarDialer isn't added twice.

Leads arrive in SolarDialer but aren't called

Check that the campaign is running (press Resume: new campaigns start Paused), that your account is approved and has balance, and that it's within the lead's calling hours.

The connection shows Disconnected with "SolarDialer's access was removed in Salesforce. Connect again."

Access was revoked in Salesforce, or the user was frozen. Click Connect Salesforce; your rules come back with it.

"Last problem sending results: ..." under Your CRM

Salesforce refused or didn't answer a write, or your org used up its daily API allowance. Results wait and are tried again after 1, 5 and 30 minutes, then 2 and 12 hours.

"The Salesforce app isn't set up on our side yet."

The connection is turned off on SolarDialer's side. Email info@solardialer.net.

FAQ

Are all my Salesforce Leads called once I connect?

No. Only Leads your rules pick, created or changed after you add each rule.

Does it work with Contacts?

No. SolarDialer reads and writes Salesforce Leads only, never converted ones.

How fast is a new Lead called?

SolarDialer checks your Leads every minute; a Lead a rule picks joins its campaign then, and is called on the campaign's schedule within its calling hours.

Do leads I upload to SolarDialer show in Salesforce too?

Yes, once they are called: a call that reached someone, an interested lead or a callback finds the Lead by phone or email, or makes one.

Does SolarDialer read Salesforce's Do Not Call field?

No. Keep such Leads out of your rule's statuses, or open the lead in SolarDialer and click Mark do not call. When someone asks the agent not to be called, Do Not Call is ticked on their Lead.

How many API calls does it use?

One query a minute while you have rules (more only when many Leads changed), and a few calls for each call result.

What does it cost?

The Salesforce connection is free. Calls are billed by the minute from your SolarDialer balance, with $2 of free calls every month.

Disconnect

  • On Account → Integrations, click Disconnect Salesforce under Your CRM and confirm. SolarDialer's access is revoked at once.
  • Or revoke it in Salesforce, under your personal settings' Connected Apps OAuth Usage.
  • Results stop going to Salesforce. Your leads and calls stay in SolarDialer, and nothing is removed from Salesforce. To have your SolarDialer data deleted, email info@solardialer.net.

Pay only when we're talking to someone

22¢ a minute while on a call, or 14¢ with your own phone line. Calls nobody answers are free, and the first $2 of calls every month are on us. The Salesforce connection itself costs nothing.
