SolarDialer

SolarDialer for Salesmate

Connect your Salesmate account: contacts with a tag or type you pick, or whose deal reaches a stage, are called by SolarDialer's AI agent within a minute, interested leads are transferred live to your closer, and every call is logged on the contact as a Call activity, with its summary and a link to the recording.

You need a SolarDialer account and a Salesmate user's access key (My Account → Access Key). SolarDialer sees what that user can see in Salesmate.

Call contacts by tag, type or deal stage

Choose a tag, a contact type, a deal stage (or "any new contact") and a campaign: each matching contact added or changed from then on joins the campaign within a minute, called on its schedule, always within the lead's legal calling hours.

Every call on the contact

Each call is logged on the contact as a completed Call activity with its outcome, length, summary and a link to the recording; a call that reached someone also adds a note with the whole conversation.

Deals for interested leads

Pick a pipeline stage and each interested lead gets a deal there (moved to your transfer stage when they are put through to your closer). Callbacks become Call activities, due when the lead asked.

Tags for your lists and workflows

SD Interested, SD Transferred, SD Callback and SD Do Not Call are added to the contact's tags, for your Salesmate filters and workflows.

Set up in 3 steps

  1. Copy your access keyIn Salesmate, click your profile picture → My Account → Access Key and copy the key. Note your Salesmate address too, like yourcompany.salesmate.io.
  2. ConnectSign in to SolarDialer, open Account → Integrations, enter the address and key under Salesmate and click Connect.
  3. Choose who is calledOn the same page, add a rule: a tag, a contact type, a deal stage (or any new contact) and the campaign those contacts join. Optionally pick the stage interested leads' deals go to.

Want it instant? A Salesmate workflow with the Call Webhook action can tell SolarDialer about a contact or deal the moment it changes; the Integrations page shows the address to use.

What SolarDialer reads and writes in Salesmate

Salesmate dataWhat SolarDialer does with it
ContactsReads the contacts changed since its last look (every minute), and the name, phones, email and billing address of those a rule picks, to call them. Finds (by phone or email) or creates the contact for a lead whose call reached someone, and adds the SolarDialer tags to it.
DealsReads the deals changed since its last look when a rule names a stage, to call their primary contact. For interested leads (when you pick a stage) adds a deal there, or moves the contact's open deal on a transfer.
Activities and notesLogs each call as a completed Call activity on the contact, adds a note with the whole call when it reached someone, and an open Call activity for each callback booked.
UsersReads the active users once, when you connect, to know whose key it is: new contacts, activities and deals are theirs.

People are called only within each state's calling hours, never when they are on your do-not-call list or asked not to be called, and at most the attempts your campaign allows. Your Salesmate data is used only to place and report your calls; see our privacy policy and terms.

Disconnecting

Click Disconnect Salesmate on Account → Integrations. The key is forgotten at once and results stop going to Salesmate; if you added SolarDialer's webhook to a Salesmate workflow, remove that action too. The leads and calls already in SolarDialer stay in your account until you delete them, and nothing is removed from Salesmate. To have your SolarDialer data deleted, email info@solardialer.net.

Full setup guide

Everything you need to set it up and keep it running. Stuck? Email info@solardialer.net.

Before you start

  • A Salesmate account and its address, like yourcompany.salesmate.io.
  • The access key of a Salesmate user who can see the contacts and deals you want called (My Account, Access Key). SolarDialer sees what that user sees.
  • Tags, contact types or deal stages that mark the contacts you want called, or a plan to call every new contact.
  • A SolarDialer account with at least one campaign that isn't finished. Leads are called once your account is approved and the campaign is running.

Step by step

  1. Copy your access keyIn Salesmate, click your profile picture, then My Account, then the Access Key tab, and copy the key. Note your Salesmate address from the browser's address bar too.
  2. Open Integrations in SolarDialerSign in on solardialer.net and open Account, then Integrations. Under Connect, find the Salesmate card and click Connect Salesmate.
  3. ConnectEnter the Salesmate address and paste the access key, then click Connect. The page says "Salesmate connected" with your address, and the account appears under Your CRM with a Connected badge.
  4. Add a rule: who is calledUnder Your CRM, in Contacts to call, pick in Who is called: Any new contact, a tag, a contact type or a deal stage (or type a tag in Or contacts tagged), pick the Campaign and click Add rule. From then on, matching contacts join that campaign within about a minute.
  5. Choose where interested leads go (optional)In Interested leads go to (a deal at this stage), pick a pipeline stage. Optionally pick another stage of the same pipeline in Transferred leads go to, for leads put through to your closer. Click Save.
  6. Make it instant (optional)Open Faster: tell SolarDialer at once from a Salesmate workflow, and copy the address. In Salesmate, make a workflow on Contact (Created or Updated) or on Deal with the action Call Webhook: method POST, that address, and a body field contact_id set to the contact's ID (or deal_id set to the deal's ID).
  7. Test itTag a test contact in Salesmate that has your own phone number. Within a minute or two it is a lead in your campaign in SolarDialer. After the call, the contact shows a Call activity "SolarDialer call: ...".

Settings, explained

Tagged
A rule picks contacts with the tag that are made, or changed, after the rule was added. Adding a tag changes the contact, so tagging an existing contact picks it up. A contact that already had the tag is picked only when it is next changed. Tags are matched without regard to capitals.
Or contacts tagged (type a tag)
The picker offers the tags of your recently changed contacts. A tag not listed yet can be typed here; it wins over the picker.
Contact type
Picks contacts of that type made or changed after the rule was added.
Deal reaches a stage
Picks the primary contact of an open deal at that pipeline stage, the deal made or changed after the rule was added. Stages are listed once a deal is in them.
Any new contact
Every contact made in Salesmate after the rule was added joins the campaign.
Campaign
The SolarDialer campaign the rule's contacts join. Only campaigns that aren't finished are listed. They are called on the campaign's schedule, within each lead's legal calling hours.
Rules
Up to 20, one per tag, type or stage. Each contact joins a campaign once: one already called through SolarDialer, or made by SolarDialer, is never added again. Remove a rule with its Remove button.
Interested leads go to (a deal at this stage)
An interested lead (one who said yes to your closer, whether or not the transfer connected, or who booked a callback with the closer instead) gets a deal at this stage, named after them. No pipeline means no deal.
Transferred leads go to (optional, same pipeline)
When the transfer to your closer connects, the contact's open deal in that pipeline moves to this stage, or is made there. The same stage uses the one above.
Workflow webhook
Optional. The address carries a secret of its own, new each time you connect; keep it private. Your rules still decide who is called, and the minute look carries on either way.

What it reads and writes

Read: contacts
Every minute, the contacts changed since the last look. For a contact a rule picks: first and last name, phone (mobile, then phone, then other phone), email, and the billing address (street, city, state, ZIP and country).
Read: deals
With a stage rule, every minute the deals changed since the last look: their pipeline, stage, status and primary contact.
Read: users
Once, when you connect: whose access key it is. New contacts, activities and deals are that user's.
Written: the call
Each call is logged on the contact as a completed Call activity titled "SolarDialer call: <outcome>", at the call's time, with its length in minutes and as its description the outcome, summary, answers and links (up to 2,000 characters). A call that reached someone also adds a note on the contact with the whole call, transcript included.
Written: tags
SD Transferred on a transfer, SD Interested, SD Callback and SD Do Not Call, added to the contact's own tags.
Written: deals
For an interested lead, when you pick a stage: a deal named after the lead at that stage, or on a transfer the contact's open deal in that pipeline moved to your transfer stage.
Written: callbacks
A callback adds an open Call activity titled "Callback (SolarDialer)", due when the lead asked, saying who calls back, owned by the contact's owner.
Written: contacts
A contact is found by phone, then by email, or made, only for a call that reached someone, an interested lead or a callback. A call nobody answered only updates a contact that already exists.

Troubleshooting

"Salesmate wasn't connected: Enter your Salesmate address, like yourcompany.salesmate.io."

The address wasn't a Salesmate one. Copy it from your browser while signed in to Salesmate.

"Salesmate didn't accept that access key for that address."

The key was copied in part, belongs to another Salesmate account, or its user was removed. Copy it again from My Account, Access Key.

"That Salesmate account is connected to another SolarDialer account."

A Salesmate account can be linked to one SolarDialer account at a time. Disconnect it there first.

The connection shows Disconnected: "Salesmate refused the access key"

The key changed in Salesmate or its user was removed. Connect again with the current key.

A tagged contact wasn't called

Check that it was tagged or changed after the rule was added, that it has a phone number, that it wasn't already called through SolarDialer, and that its phone isn't already a lead in your account (a number belongs to one lead). Then check that the campaign is running.

My tag or stage isn't in the picker

The picker offers what your recently changed contacts and deals use. Type the tag in Or contacts tagged; for a stage, put a deal in it and reload.

"Your Salesmate tags and stages couldn't be read just now; reload to add a rule."

Salesmate didn't answer in time. Reload the page.

"That stage wasn't found in Salesmate. Reload and pick again."

No recent deal is at that stage any more. Reload and pick again.

"Pick both stages from the same pipeline."

The transferred stage must be in the same pipeline as the interested one.

No deal appears for an interested lead

Pick a stage in Interested leads go to and click Save; with No pipeline, none is made.

"Last problem sending results" with "(trying again shortly)"

Salesmate was busy or didn't answer (it allows 1,500 requests an hour per account, shared with your other apps). SolarDialer waits and tries again, longer each time; nothing is lost.

FAQ

Why an access key and not a sign-in button?

Salesmate's public API works with each user's access key, so SolarDialer connects with one, as many of Salesmate's integrations do. The key is stored encrypted.

How fast is a newly tagged contact called?

SolarDialer looks at your contacts every minute (at once with the optional workflow webhook), and a picked contact joins the campaign straight away. The campaign calls it on its schedule, within the lead's calling hours.

Why tags and not custom fields?

Salesmate's public API can't make custom fields, and tags work in Salesmate's own filters, lists and workflows without any setup.

Do I get results for calls made before I connected?

No. A new connection gets the results of calls from then on.

Does removing the tag stop calls?

No. A contact that joined a campaign stays a lead there. Removing a rule only stops new contacts joining.

Will people be called outside calling hours or after asking not to be called?

No. People are called only within their state's calling hours, never when they are on your do-not-call list or asked not to be called, and at most the attempts your campaign allows. A do-not-call request adds SD Do Not Call to the contact.

Can I connect two Salesmate accounts?

One per SolarDialer account: the Connect form is hidden while one is connected.

What does it cost?

The connection is free. Calls are billed by the minute from your SolarDialer balance, with $2 of free calls every month.

Disconnect

  • Click Disconnect Salesmate under Your CRM on Account, Integrations. The key is forgotten at once and results stop going to Salesmate.
  • If you added SolarDialer's webhook to a Salesmate workflow, remove that action too.
  • Your leads and calls stay in SolarDialer, and nothing is removed from Salesmate. To have your SolarDialer data deleted, email info@solardialer.net.

Pay only when we're talking to someone

22¢ a minute while on a call, or 14¢ with your own phone line. Calls nobody answers are free, and the first $2 of calls every month are on us. The Salesmate connection itself costs nothing.

No monthly fee, no minimum. See pricing
