SolarDialer

SolarDialer for Vtiger CRM

Connect your Vtiger account: leads, contacts or deals in a status you pick are called by SolarDialer's AI agent within minutes, interested leads are transferred live to your closer, and every call is added to the record as a Call activity with its summary, transcript and a link to the recording.

You need a SolarDialer account and a Vtiger Cloud user on an edition with API access (One Growth, One Professional, One Enterprise or higher); an admin's access key sees every record.

Call records by status

Choose a Lead Status, a Contact Status or a Deal's Sales Stage (or "any new" lead, contact or deal) and a campaign: each record in it that is added or changed from then on joins the campaign within minutes, called on its schedule, always within the lead's legal calling hours. A deal is called on its contact.

Every call on the record

Each call is added to the lead, contact or deal as a held Call activity, its length and outcome in the subject, with the AI summary, answers, transcript and a link to the recording in its description.

Interested leads move on

Pick a status and each interested lead moves there (and to your transfer status when they are put through to your closer), so your Vtiger workflows take it from there. Callbacks become tasks, due when the lead asked.

Tags and fields for your lists

Records get the tags SD Interested, SD Transferred, SD Callback and SD Do Not Call. Add fields labelled SD Outcome, SD Last Call, SD Recording, SD Interested, SD Callback and SD Do Not Call and they are filled in too.

Set up in 3 steps

  1. Copy your access keyIn Vtiger, click your profile picture → My Preferences and copy your User Name and Access Key. Note your Vtiger address too, like yourcompany.od2.vtiger.com.
  2. ConnectSign in to SolarDialer, open Account → Integrations, enter the address, user name and access key under Vtiger CRM and click Connect.
  3. Choose who is calledOn the same page, add a rule: a status or stage (or any new lead, contact or deal) and the campaign those records join. Optionally pick the status interested leads move to.

What SolarDialer reads and writes in Vtiger

Vtiger dataWhat SolarDialer does with it
Leads, Contacts and DealsReads the records changed since its last look (every few minutes, only in the modules your rules use), and the name, phones, email and address of those a rule picks (a deal's contact's), to call them. Finds (by phone or email) or creates a Lead for a lead whose call reached someone, tags it, fills the SD fields you added, and moves it to the status you picked for interested leads.
Module layoutsReads the modules' fields: the status picklists for the pickers, the SD fields you added, and which fields a new Lead must have.
Activities and commentsAdds each call as a held Call activity (as a comment if your Vtiger refuses the activity), and a task for each callback booked, for the record's owner.

People are called only within each state's calling hours, never when they are on your do-not-call list or asked not to be called, and at most the attempts your campaign allows. Your Vtiger data is used only to place and report your calls; see our privacy policy and terms.

Disconnecting

Click Disconnect Vtiger on Account → Integrations. The access key is forgotten at once; to be sure it can't be used again, reset it in Vtiger (My Preferences, Access Key), which also stops other apps using it. Results stop going to Vtiger; the leads and calls already in SolarDialer stay in your account until you delete them, and nothing is removed from Vtiger. To have your SolarDialer data deleted, email info@solardialer.net.

Full setup guide

Everything you need to set it up and keep it running. Stuck? Email info@solardialer.net.

Before you start

  • A Vtiger Cloud account, at an address like yourcompany.od2.vtiger.com, on an edition with API access: One Growth, One Professional, One Enterprise or higher. Vtiger One Pilot has no API access. A Vtiger you host yourself can't be connected yet.
  • The user name and access key of a Vtiger user (My Preferences). An admin's key is best: SolarDialer sees only the records its user may see.
  • A SolarDialer account with at least one campaign that isn't finished. Leads are called once your account is approved and the campaign is running.
  • Optional: text fields labelled SD Outcome, SD Last Call, SD Recording, SD Interested, SD Callback and SD Do Not Call on Leads, Contacts or Deals (Settings, Module Layouts and Fields). Vtiger doesn't let apps add fields, so SolarDialer fills these only where you add them.

Step by step

  1. Copy your access keyIn Vtiger, click your profile picture, then My Preferences. Copy your User Name and your Access Key. Note your Vtiger address from the browser too, like yourcompany.od2.vtiger.com.
  2. Open Integrations in SolarDialerSign in on solardialer.net and open Account, then Integrations. Under Connect, find the Vtiger CRM card and click Connect Vtiger.
  3. ConnectEnter the address under Vtiger address (the address itself or any page address from Vtiger works), your user name and the access key, and click Connect. The page says "Vtiger connected (yourcompany.od2.vtiger.com)" and the account appears under Your CRM with a Connected badge.
  4. Add a rule: who is calledUnder Your CRM, in Records to call, pick in Who is called a Lead Status, a Contact Status or a Deal's Sales Stage, or Any new lead, contact or deal, pick the Campaign and click Add rule. From then on, matching records join that campaign within a few minutes.
  5. Choose where interested leads go (optional)In Interested leads go to, pick the status an interested lead moves to: a Lead Status for Leads, a Contact Status for Contacts or a Sales Stage for Deals. Only records of that module move, so pick the module your rules call. Optionally pick another in the same module in Transferred leads go to. Click Save.
  6. Test itMake a test Lead in Vtiger with your own mobile number in the status your rule uses. Within a few minutes it is a lead in your campaign in SolarDialer. After the call, the Lead shows a held Call activity in its Activities.

Settings, explained

Leads or Contacts in the status, Deals at the stage
A rule picks records in that status or stage that are made, or changed, after the rule was added. Vtiger keeps no time of a status change, so a record that was already in the status is picked only when it is next changed. A deal is called on its contact's phone; a deal without a contact is skipped.
Any new lead, contact or deal
Every record of that kind made in Vtiger after the rule was added joins the campaign.
Campaign
The SolarDialer campaign the rule's records join. Only campaigns that aren't finished are listed. They are called on the campaign's schedule, within each lead's legal calling hours.
Rules
Up to 20, one per status or stage. Each record joins a campaign once: one already called through SolarDialer, or made by SolarDialer, is never added again. Remove a rule with its Remove button.
Interested leads go to
The status or stage an interested lead's record moves to: a lead who said yes to your closer, whether or not the transfer connected, or one who booked a callback with the closer instead. Leave the status as it is keeps records where they are.
Transferred leads go to (optional)
A different status, in the same module, for leads whose transfer to your closer connected. The same status uses the one above.

What it reads and writes

Read: Leads, Contacts and Deals
Every few minutes, the records changed since the last look, only in the modules your rules use. For a record a rule picks (a deal's contact): first and last name, phone (mobile, then office, home and other), email, address, city, state, ZIP and country.
Read: module layouts
The status picklists of Leads, Contacts and Deals for the pickers; the SD fields you added, found by their labels; and the fields a new Lead must have.
Written: the Call activity
Each call is added to the record as a held Call activity, for the connected user, its subject the outcome ("SolarDialer call: Talked"), its start and length the call's (in UTC), and its description the summary, answers, transcript, a link to the recording and a link to the call in SolarDialer. If your Vtiger refuses the activity, the same text is added as a comment on the record.
Written: tags
SD Interested for an interested lead, SD Transferred for a transfer, SD Callback for a callback and SD Do Not Call for someone who asks not to be called. Use them in your lists and filters.
Written: fields
Where you added them: SD Outcome, SD Last Call (date and time in UTC), SD Recording (a link) on every call; SD Interested (Yes), SD Callback (when) and SD Do Not Call (Yes). A do-not-call request also ticks Vtiger's own Do Not Call box where the module has one.
Written: status and tasks
An interested lead's record moves to the status you picked. A callback adds a task "Callback (SolarDialer)", due when the lead asked, for the record's owner, saying who calls back.
Written: Leads
A Lead or Contact is found by phone, then by email, or a Lead is made, only for a call that reached someone, an interested lead or a callback. A call nobody answered only updates a record that already exists. A new Lead belongs to the connected user; any other field your Vtiger makes mandatory gets its default or "Unknown".

Troubleshooting

"Vtiger wasn't connected: Enter your Vtiger address, like yourcompany.od2.vtiger.com."

The address isn't a Vtiger Cloud one. Copy it from your browser while signed in to Vtiger. A Vtiger you host yourself can't be connected yet.

"Vtiger didn't accept that user name and access key for that address."

The key belongs to another user or account, or was reset. Copy the user name and access key again from My Preferences, in the account at that address.

"Vtiger refused API access for that user"

Your edition has no API access (Vtiger One Pilot), or the user's profile blocks it. Use an admin's key on an edition with API access.

"That isn't a Vtiger address."

Vtiger answered that the address doesn't exist. Copy it from the browser while signed in.

"That Vtiger account is connected to another SolarDialer account."

A Vtiger account can be linked to one SolarDialer account at a time. Disconnect it there first.

The connection shows Disconnected: "Vtiger refused the access key"

The key was reset, or its user was removed or made inactive in Vtiger. Copy the current key and connect again from the Vtiger CRM card.

A record in the rule's status wasn't called

Check that it was made or changed after the rule was added (edit it to pick it up), that it has a phone number (a deal's contact must have one), that the connected user can see it, that it wasn't already called through SolarDialer, and that its phone isn't already a lead in your account (a number belongs to one lead). Then check that the campaign is running.

"Your Vtiger statuses couldn't be read just now; reload to add a rule."

Vtiger didn't answer in time. Reload the page.

"That status wasn't found in Vtiger. Reload and pick again."

The status was renamed or deleted in Vtiger after the page loaded. Reload and pick again.

The SD fields stay empty

Vtiger doesn't let apps add fields. Add text fields with exactly those labels to the module (Settings, Module Layouts and Fields); results after that fill them in.

Calls show as comments, not Call activities

Your Vtiger refused the Call activity, usually because a field on Events is mandatory that SolarDialer doesn't fill. Make it optional, or keep the comments.

"Last problem sending results" with "(trying again shortly)"

Vtiger was busy, didn't answer, or your daily API allowance is used up. SolarDialer waits and tries again, longer each time; nothing is lost. Vtiger counts API calls a day per account (more with more users), shared with your other apps.

FAQ

Why an access key and not a sign-in button?

Vtiger offers sign-in only to add-ons built on its own platform, so SolarDialer connects with a user's access key, as most Vtiger integrations do. The key is stored encrypted and only ever sent to your Vtiger address.

How fast is a new record called?

SolarDialer looks at your records every few minutes, and a picked record joins the campaign straight away. The campaign calls it on its schedule, within the lead's calling hours.

How many of my API calls does it use?

About one call per module your rules use every five minutes, plus a few for each result sent back: well within a One Growth account's daily allowance.

Do I get results for calls made before I connected?

No. A new connection gets the results of calls from then on.

What if I delete or convert a Lead in Vtiger?

The next result for that lead finds the record again by phone or email (a converted Lead's Contact), or makes a new Lead.

Does removing the status or deleting the rule stop calls?

No. A record that joined a campaign stays a lead there. A rule removed only stops new records joining.

Will people be called outside calling hours or after asking not to be called?

No. People are called only within their state's calling hours, never when they are on your do-not-call list or asked not to be called, and at most the attempts your campaign allows. A do-not-call request tags the record SD Do Not Call and ticks its Do Not Call box.

Can I connect two Vtiger accounts?

One per SolarDialer account: the Connect form is hidden while one is connected.

What does it cost?

The connection is free. Calls are billed by the minute from your SolarDialer balance, with $2 of free calls every month.

Disconnect

  • Click Disconnect Vtiger under Your CRM on Account, Integrations. The key is forgotten at once and results stop going to Vtiger.
  • Reset the access key in Vtiger too (My Preferences) if no other app uses it.
  • Your leads and calls stay in SolarDialer, and nothing is removed from Vtiger. To have your SolarDialer data deleted, email info@solardialer.net.
